How to set up an event?
Step 1: Go to the Project Settings
Open the project where you want the event.
Navigate to Project Settings → Events tab.
Step 2: Create the Event Page
Fill in event title, description, image, and attachments
Add location details (including hybrid or fully online events)
Optional: enable registration limit and set maximum allowed registrations
Step 3: Plan a One-Day Phase (Optional)
If the event is a single day, you can create a one‑day‑long phase for scheduling flexibility.
How to manage event registrations?
Residents can register up until the event ends (e.g., if the event runs until 19:00, registration is open until 19:00).
Set up access rights for your event
The access rights for your event are linked to the phase of the project that is currently active. To read more about access rights read this support article.
💡 Tip:
If access rights play an important role in your event, we recommend creating a dedicated project for it. Configure a single phase (for example, an Information phase) that runs from the current date until the event date.
This ensures that the access rights defined for this phase remain consistent throughout the entire registration process.
Set a registration limit
Turn on Registration limit toggle in event settings.
Enter max registrations. Users will see how many spots are left.
How to manage event attendees and communication?
You can export attendees via the Events tab. Attendees automatically get a confirmation email after signing up.
You can contact attendees by:
Creating a smart group of attendees.
Using the Messaging tab to send emails (before the event with prep materials or after the event for follow‑up engagement).
Event ideas for local governments
Ways local governments are successfully using events:
Kick-off events: Launch a project and create buzz.
Relationship & trust-building events: Drop-in meet-and-greets with council members. (Example: Municipality of Houten engaged 345 attendees.)
Information-sharing events: Topic‑specific meetings before major projects. (Example: City of Vienna for local planning.)
Project-site events: Gather feedback directly at project locations (e.g., playground design discussions).
Reveal events: Celebrate milestones or unveil final results. (Example: City of Ostend’s Christmas lights project.)
Pop-up events: Surprise events to reach new audiences. (Example: Copenhagen pop-up at a metro station.)
Educational workshops: Teach residents about city operations or policies. (Examples: Chile on gender lens; Netherlands on wind turbines.)
Offline voting events: Combine in-person and online voting (offline votes can be uploaded to the platform).
