What are manual emails on the platform?

The “Messaging” tab in the admin panel allows you to create, edit, and track email campaigns sent to users. You can design campaigns, send them to specific user groups, test and preview emails, and analyze engagement metrics.

Manual emails

Messaging campaigns (manual emails) help you:

  • Communicate important updates or calls to action

  • Target specific user groups (e.g., participants of a single project)

  • Personalize messages using variables like {{first_name}} and {{last_name}}

  • Learn and improve based on open rates and click-through statistics

There are two types of manual emails:

  • Platform-level manual emails: only accessible by admins to send emails to different user groups or all registered users on the platform.

    • accessible via the Messaging general tab > Custom emails

  • Project-level custom emails: accessible by project managers to send emails to only their project participants

    • accessible via the project Messaging tab

How to create an email campaign?

  1. Go to Messaging > Create a new email.

  2. Define the sender (person name or organization).

  3. Define the recipients: choose “all users” or a specific smart group (e.g., participants of a project).

    ℹ️ You cannot add individual email addresses here. Users must belong to a group.

  4. Define reply handling: who will receive replies.

  5. Add your email subject (make it clear, engaging, and personal).

  6. Write the email body. Add layout, images, hyperlinks, and personalization tokens like {{first_name}} and {{last_name}}.

  7. Remember: the header (platform logo) and footer (legal info) are fixed.

  8. If your platform is multilingual, fill in all language fields.

  9. Click Save as draft.

Your draft can be reviewed, edited, and tested before sending.

How to preview, edit and test your email campaigns?

  1. After saving as draft, click Edit to preview the email

  2. Click Send me a test email to send the campaign to yourself

  3. Resize images by clicking and dragging from the corners

  4. Make any needed edits

  5. Click Send when you are satisfied

How to measure campaign results?

Steps:

  1. Go to Messaging > Emails tab

  2. Click Statistics on any sent campaign

You’ll see:

  • Sent & delivered counts

  • Open rates

  • Click-through rates on links

  • A list of recipients with individual status

Campaign elements explained

  • From: Display name in the “From” field (person or organization)

  • To: Which smart group or user set will receive the email

  • Replies Should Go To: Recipient for email replies

  • Email Subject: The subject line in recipients’ inboxes

  • Email Body: The main content area. Supports images, hyperlinks, and personalization tokens

  • Header & Footer: Logo (header) and legal info (footer) are automatically added
